Set up content using a business template or import from Notion
From "Create" on the left, you can add pages, databases, folders, or spaces. If you don't want to start from scratch, open "Business Templates" and select project management or internal request intake. Just confirm the name, description, notification recipient, and whether to publish the form. The template will be ready with columns, views, forms, and automations.
If you already have content in Notion, go to "Settings" at the bottom left, then "Import," and upload the exported ZIP file. Imported pages are only visible to the person who imported them, so you can check sharing settings before publishing. You can also import additional content later using the same steps.
- Type
/databasein the page body to insert a database right there - To convert an existing page to a database, select "Convert to database" from the "..." menu at the top right.
Business template / Internal request intake
Invite your team and set sharing permissions
Invite colleagues by email to edit pages together in the same space. You can also copy and send an invite link. Invited members appear as employees in notes and can be assigned in tables.
Set sharing permissions for each page. New pages are private by default (see "Private" on the left). To share with everyone, move to "Space". You can also share with specific people or departments. Permissions set on a parent page apply to its subpages and databases. Even admins cannot read the content of private pages.
- Company-wide documents (work rules, request procedures) → Share in the company space
- Team operation documents → Share with the relevant department
- Meeting notes and drafts → Keep private
- External collaborators → Invite by email to specific pages only
How to set sharing permissions
Add forms, automations, and AI meeting minutes
Check form submissions from "Form" at the top of the database and share the public link. Responses are added as rows. If you stop the form, submissions from the link will also stop. In "Automation," you can add actions like "Notify the assignee in Slack when a new row is created." After running, you can check the latest status as "Completed" or "Needs review."
AI meeting minutes are recorded by the user via the Chrome extension. No need to add extra participants to the meeting. Summaries are shown first, with transcripts collapsed, and notes are saved. 1on1s and interviews at the same time are automatically linked. No extra cost.
- At the start of the meeting, explain the purpose of recording and who will have access, and confirm consent before beginning.
- New meeting minutes start as private to the creator
End of week 1 status
What should you do in the first week?
One page for everyone to read, one management table with employee names, and one intake form. With these three set up, you can confirm sharing, employee lookup, and automated notifications in the first week.
Days 1–2: Setup and first page
- Sign up with your company email and check your company space
- Add a page with procedures or rules for everyone to read in your space
- Create a section in your "Private" area for personal use
- Add frequently used pages to your favorites
Days 2–3: Management table and invites
- Create a management table from a template (e.g., project management or internal requests)
- Set the assignee column to "Employee" and check you can select from the directory
- Invite colleagues by email and try sharing with a specific department
- If you have content in Notion, import the ZIP file
Days 3–4: Intake and notifications
- Publish a form from the management table, submit a test entry, and check that a row is added
- Add an automation to notify when a new row is created
- Check that the automation result is "Executed successfully"
Day 5: Record a meeting
- Install the Chrome extension and record a regular or 1-on-1 meeting
- Review decisions and action items from the summary and edit if needed
- Set sharing permissions for the meeting notes (default is private)
- Try searching with synonyms and confirm you can find the page
How do you bring over your Notion content?
Export a ZIP from Notion using “Markdown & CSV” and “Include subpages,” then upload it in Settings → Import. Permissions, relations, and formulas will need to be set up again after import.
| Order | Steps | Tips |
|---|---|---|
| 1 | Review the pages to migrate | You may choose not to migrate outdated or unused pages. Migrating everything can bring old, irrelevant info back into search results. |
| 2 | Export from Notion | Go to the target page, select “...” → “Export” → “Markdown & CSV,” and turn on “Include subpages.” Pages you can’t access won’t be included. |
| 3 | Import into ChordOne Note | In the lower left, go to “Settings” → “Import” and upload the ZIP. Imported content is only visible to the person who imported it at first. |
| 4 | Reset sharing settings | Check sharing for all, by department, by specific people, or just yourself. Review to make sure former employees or old departments are not included. |
| 5 | Reconfigure relations and formulas | Since formats differ by product, reconnect references and check that totals match pre-migration values. Replace “assignee” columns with employee references to avoid manual copying. |
| 6 | Test migration → Full migration | Start by testing with 5–10 frequently used pages and one database. Check search, permissions, and links before migrating the rest. |
A checklist for steps and items to verify is available in Checklist for migrating from Notion to your internal wiki.
Frequently asked questions about implementation
How long does it take to get started?
You can start using it the same day you register with your company email. Creating and sharing pages takes just a few minutes. With business templates, you can start with columns, views, and forms ready to use. Notion import is also available on the same day.
What should I create first?
We recommend starting with one procedure or rule that everyone reads, and one table listing employee names. Place the procedure in your company space, and create the table from a business template. This lets you check sharing settings and employee directory integration in your first week.
Is there support or consultation for onboarding?
Yes. You can request onboarding support or materials through the ChordOne website. We can also help with migrating from Notion and designing sharing settings.
