Left list / Spaces, shared, and private
Where should you put each type of information?
There are three levels: spaces for everyone, shared with selected users, and private for yourself. New pages start as private, and move to the right place when you set sharing.
Pages, folders, and spaces
Meeting notes, procedures, and plans are managed as pages. Pages can be organized into folders and spaces. Type /page in the body to add a subpage right where you need it. Drag pages to move them under other folders or pages. Frequently used pages can be added to favorites and pinned to the top of your list.
- A company space is ready from the start as a place for everyone
- Basic blocks: headings, tables, checklists, images, embeds, and more
- Use icons and covers to make pages easy to spot in lists
- Display language can be switched between Japanese and English

How much of our spreadsheet-based management tables can be replaced?
You can manage assignees, status, deadlines, and related rows all in one database. Switch between 6 different views of the same data, and link tables using relations, rollups, and formulas.
6 view types and links between tables
Switch between table, board, calendar, gallery, timeline, and chart views using the same data. Supports relations to reference rows in other databases, rollups to show counts and totals, formulas for things like days until deadline, and sub-items for child tasks under rows.
- Group filters by condition, and use summary rows for totals and averages
- Open rows as pages in a side panel to add content and comments
- Type
/databasein the page body to insert it on the spot - Lock columns or views in place. You can still add and edit rows.
Training Plan 2026 Second Half / Table View
Participants are linked to the "Training Records" database. Counts and completions are automatically totaled with rollups.
Why don't I need to copy names from the directory?
Because you can reference the employee directory and departments directly in assignee or target columns. When someone joins, moves, or leaves, the management table updates automatically.
"Person" column linked to the directory
If you set the column type to "Employee," "Department," or "User," you can pick from the company directory with a click. Unlike typing names, this avoids duplicates and inconsistencies, and you can track people even if they leave or transfer. Selecting an employee also fills in their department automatically.
- Supports multiple assignees
- Fields not visible in the directory (such as grade or salary) are also hidden in Note
- You can also share pages with specific departments
Equipment lending log / Edit the “User” column
Users who have left the company are shown with a strikethrough, so you can spot unreturned items.
Can I handle internal requests and surveys without using another tool?
Yes. You can create public forms from databases that don’t require login, and responses are received as rows. You can publish or stop forms with one click and set required fields.
Responses become rows in the management table
No more copying form responses into spreadsheets. For equipment requests, internal requests, onboarding surveys, or event sign-ups, responses are added as rows in your table, so you can assign owners and update statuses directly.
- Copy the public link to share. Respondents don’t need to log in
- If you stop the form, responses from the link are also disabled
- Automatic notifications to assignees when responses arrive (automation)
Internal Request Intake / Form
Can I automate notifications to assignees when responses arrive?
You can automate field updates, in-app notifications, and Slack notifications when rows are created or fields are changed. You can check the results as either “Successful” or “Needs review.”
Just select a trigger and an action
Combine triggers like “when a new row is created” or “when status is set to complete” with actions such as “notify the assignee on Slack,” “set the completion date to today,” or “set priority to high.” You can choose from common presets—no technical knowledge needed.
- Send notifications in-app, to Slack, or both
- View the latest results in a list. “Needs review” is shown if an action fails.
- Button field: Update multiple fields at once with a single click, e.g. “Mark as complete”
Equipment Requests / Automation
Can I start without building from scratch?
You can start with workflow templates for project management or internal request intake, with columns, views, and forms already set up. Just confirm the name and notification assignee to create.
Project Management
Columns for tasks, assignees, deadlines, and status, with board/timeline views. Add subtasks as child items.
Internal Request Intake
Comes with a public form, request list, and automation to notify the assignee when a new request arrives.
Row Templates
From “New” in the database, select a template with preset field values and content type. Useful for meeting notes, 1-on-1s, and interview records.
Can I generate meeting minutes automatically without adding a bot?
Yes. Users can record from the Chrome extension, and summaries and transcripts are saved to the note. No extra names are added to the meeting participant list. No additional cost.
Summary first, full transcript collapsible
Summaries tailored to each meeting type (decisions, action items, key points by topic) are shown first. The full transcript is collapsed and can be opened as needed. 1on1s or interviews scheduled at the same time are automatically linked, so you don't need to search for which meeting the notes belong to.
- Recording meetings without adding an extra participant (Bot)
- New meeting notes start as private to the creator
- Included in Notes, no extra cost

1on1 / Ryo Takahashi × Megumi Yamamoto / 2026-09-17
Will handle referral initiatives next term. Will coordinate with manager to adjust workload for busy weeks.
Yamamoto: Review assignment plan (9/24) / Takahashi: Draft proposal (9/30)
Can I find pages even if I phrase things differently?
Yes. Not only titles, but also pages and database rows with similar content appear in search results. You can check connections between pages with backlinks.
Search, browse, check
The search on the left is semantic, so you can search by keyword or content. For example, searching for "how to apply for paid leave" will also find "paid leave procedures." Backlinks show where a page is referenced from, and you can leave comments on each paragraph for follow-ups.
- Database rows are also searchable
- Mentioning @ in comments notifies the person (title only, not the comment body)
- Switch between "Recent," "Created by me," and "Shared" on Home
Search: "how to apply for paid leave"
If I put HR notes here, can admins read them?
Pages are private by default. Only the creator can read a new page, and even admins cannot view the content of private pages. Sharing is set per page, by person or department.
Choose who can see each page
You can share with "everyone in the workspace," specific people or departments, or just yourself. Sharing settings on a parent page also apply to its subpages and databases. For external guests, you can invite them to view only a specific page by email address. For each invite, you can set view, comment, or edit permissions. Other workspace information is not shown.
- Access is by invitation, not public links
- Department-based sharing updates with transfers and new hires
- For data handling, see the Security page
Sharing / "Interview Evaluation Sheet 2026"
Only people listed here, including admins, can access this page.
Can I bring over my current Notion content?
You can import Notion ZIP exports directly. Just go to "Settings" → "Import" at the bottom left and upload. You can also import additional content later.
Import page hierarchy and databases
Export a ZIP from Notion with "Markdown & CSV" and "Include subpages," then upload it as-is. Imported pages start as private to the importer, so you can review sharing before publishing. Relations and formulas may need to be reconfigured after import, as formats differ by product.

Frequently asked questions about features
Can I use the database like Notion?
You can switch between table, board, calendar, gallery, timeline, and graph views, and use relations, rollups, formulas, sub-items, grouped filters, and aggregation. You can also reference the employee directory or departments directly in assignee columns.
Does the AI meeting minutes feature join meetings as a bot?
No. The user records from the Chrome extension, so no extra participant is added. The summary appears first, and the transcript can be viewed collapsed. It auto-links to 1on1s and interview candidates at the same time slot. No extra cost.
Where do public form responses go?
Responses are added directly as rows in the database where the form was created. Respondents do not need to log in. You can publish or pause the form with one click. You can also set up automations to notify the responsible person in the app or via Slack when a new row is created.
All features are free for up to 20 users.
